Accessing Your Voicemail and Setting Up Your Personal Greeting

Accessing Your Voicemail

To access your voicemail, press the Message button on the phone base (this button often looks like a piece of mail). Alternatively, dial *123 for the same access.

Quick Context Menu

Press 0 to enter Mailbox Setup Options, where you can:

  • Option 1 → Message for when you are NOT on a call (Unavailable Greeting)
  • Option 2 → Message for when you ARE on a call (Busy Greeting)
  • Option 3 → Record your name
  • Option 4 → Temporary Greeting
  • Option 5 → Change password

Change Your Voicemail Password

It is strongly recommended to change your default password.

  1. Log in to your mailbox.
  2. Press 0 to enter Mailbox Setup Options.
  3. Press 5 to reset your password.

Personal Greetings

Your voicemail can be set up with separate greetings for when you are on the phone (Busy) or away from your desk (Unavailable).

Example Busy Greeting: “Thank you for calling; you have reached the voicemail box for [Name]. I’m sorry I have missed your call. I am currently on the phone, however, please leave your name and number, and I will return your call shortly.”

Example Unavailable Greeting: “Thank you for calling; you have reached the desk of [Name]. I’m sorry I have missed your call, as I am currently away from my desk. Please leave your name, number, and a brief message after the tone, and I will return your call shortly.”

To record these greetings, log in to your mailbox and press 0, then:

  • Option 1 → Unavailable Greeting (when NOT on a call)
  • Option 2 → Busy Greeting (when on a call)

Temporary Greeting (e.g., Holiday Greeting)

  1. Log in to your mailbox and press 0 to enter Mailbox Setup Menu.
  2. Press 4 for Temporary Greeting.
  3. Press 1 to Record Temporary Greeting, or 2 to Delete Temporary Greeting.

Note: This only changes the greeting on your personal mailbox. If your office is closing for a period of time, you will need to contact support and request a greeting change for the main system.

Company Directory – Recording Your Name

Your company may have a directory enabled allowing callers to dial by first or last name. By default, the system uses an automated voice to say your name.

To record your name using your own voice:

  1. Log in to your mailbox and press 0.
  2. Press 3 to Record Your Name.
